Privacy policy

What we collect

• Your mobile number: it is how you sign in and how Mike texts you.
• Your business details: business name, and if you add them, your name, business type, province, GST/HST number and year end.
• Email addresses you link, so receipts you email reach your books.
• Your documents: photos and PDFs of receipts, invoices and statements you send, and what Mike reads from them (vendor, date, amounts, taxes, category).
• Your messages with Mike, by text, email or in the app, and any corrections you make.
• App notification tokens, if you allow notifications, so we can tell you when something is filed.

We don't use advertising trackers, and we don't collect your location or contacts.

Why

Only to keep your books: to read and file your documents, answer your questions, send you confirmations and reminders, and prepare your year-end package. We don't sell your data, share it with advertisers, or show ads.

Who helps us run it

We use trusted service providers to run heyMike. They process your information only on our behalf, only to provide the service, and under agreements that require them to protect it. They include:

• Cloud hosting and storage, for example Google Cloud and Amazon Web Services (AWS): to store your books and documents, in Canada and the United States.
• AI providers, for example OpenAI and Anthropic (Claude): to read your documents and messages so Mike can file them and reply. We use their business services, which don't use your data to train their models.
• Our communication providers, for example Mutualcom: to send and receive text messages and calls.
• Apple and Google: to deliver app notifications.
• Email providers: to receive the receipts you email to Mike and send our confirmation emails.

We may change or add providers over time; any new provider is held to the same standards. Some of this processing happens outside Canada, mainly in the United States, where it may be subject to local law.

We don't sell your information or use it for advertising. We share it with your accountant only when you ask us to, and we may disclose it if the law requires it.

How long we keep it

We keep your books for as long as you have an account, so they are there at tax time and for your records.

You can delete your account at any time in the app: Settings > Delete my account. See how account deletion works. Your books are removed from your account right away. A copy is set aside in case the deletion was a mistake; ask us and we erase it permanently.

You can download everything first: in Books, tap Export everything.

Your choices

• See and correct your details in Settings, and any entry in Books.
• Turn app notifications off in your phone's settings, or choose text messages in Settings > Notify me by.
• Text STOP to stop text messages.
• Ask us what we hold about you, or to correct or delete it.
